What Is a UPS and Why Does Every Business Need One?
A Surge Protector Isn’t Enough
Most small business owners have surge protectors plugged into their walls and assume that’s sufficient protection for their equipment. A surge protector is better than nothing, but it only addresses one type of power problem. A UPS, which stands for Uninterruptible Power Supply, addresses the full range of power events that can damage equipment or cause data loss, and for any business that relies on computers and network equipment to operate, it’s one of the most practical and often overlooked investments in IT reliability.
What a UPS Actually Does
A UPS is a device that sits between your equipment and the power outlet and provides a buffer of battery-backed power. It does several things that a standard surge protector can’t. It conditions the power coming into your equipment, smoothing out fluctuations and filtering out electrical noise that can degrade equipment over time. It protects against voltage spikes and surges the same way a surge protector does. Most importantly, it provides battery backup power in the event of an outage, giving your equipment time to either continue operating through a brief interruption or shut down gracefully when the power doesn’t come back.
That last point is particularly important for servers and network equipment. When power cuts out suddenly, any data that hasn’t been written to disk is lost, and the abrupt shutdown can cause file system corruption that creates problems when the equipment restarts. A UPS prevents that scenario by keeping equipment running long enough for a proper shutdown to occur, or for power to be restored if the outage is brief.
The Types of Power Problems a UPS Addresses
Power problems come in more varieties than most people realize. A complete outage is the most obvious, but it’s not the most common. Voltage sags, which are brief drops in power that fall short of a full outage, can cause computers to restart unexpectedly or behave erratically. Voltage spikes are sudden increases that can damage sensitive electronics. Power surges, which are larger and more sustained than spikes, can destroy equipment entirely. Electrical noise and interference from motors, HVAC systems, and other equipment on the same circuit can degrade performance and shorten the lifespan of components over time. What Equipment Should Be on a UPS
Not every piece of equipment in your office needs to be on a UPS, but the equipment that your operations depend on most should be. Servers are the highest priority since they’re running continuously and an abrupt shutdown can cause real damage. Network equipment including your router, switches, and firewall should also be on a UPS because losing network connectivity affects every user in the office simultaneously. Desktop computers and workstations benefit from UPS protection as well, particularly for employees working on files that aren’t saved automatically. Printers, monitors, and other peripheral equipment that can be safely powered off without consequence generally don’t need UPS protection.
Sizing and Battery Maintenance
Getting the sizing right matters. A UPS that’s too small for the equipment connected to it will either fail to power everything or provide only seconds of battery time rather than the minutes needed for a graceful shutdown. For most small business servers and network equipment, a UPS that provides five to ten minutes of runtime is sufficient to either ride out a brief outage or complete a controlled shutdown. UPS batteries also degrade over time and typically need to be replaced every three to five years. A UPS with a dead or degraded battery provides no actual protection even though the unit appears to be functioning normally.
